Running the tournament on Zermelo when setup was done by another operator.
Tournament staff
Desk operations (PA calls, clipboards, certificates, guarding operator). Recommended for 70+ entries or 10+ tables if no host volunteer is available.
Note: Full service equals $500/day total. Split setup and on-day options also total $500 for two people.

Accommodation — if travel exceeds one hour from Melbourne
Catering — meals provided at the venue
Draw hosting — $15/tournament for clubs without their own hosting server
Pre-event
- Monitor all entry forms via RevSport, including processing requested changes
- Reconcile entry fee income with the Club Treasurer
- Prepare a recommended prize money distribution based on income and expenses
- Provide player lists to selectors
- Create, publish, and host the draw and online draw sheets on a dedicated server
During event
- Manage tournament operations using Zermelo
- Volunteer training if required
Post-event
- Submit official results to Ratings Central and Table Tennis Victoria (TTV)
- Prepare an EFT transfer list for the Treasurer to use when paying out prize money
- Printer access on the day (make and model to be sent in advance so drivers can be installed), plus two reams of paper
- Minimum 2 × 6ft tables set up as an office area
- 3 power points for the Zermelo controller (extension cords if needed)
- One to three volunteers to assist with announcements, scoresheets, and presentations
- PA system for calling matches and announcements
- Clipboards — ideally two per table to enable double-boarding of matches
- Pens/pencils — minimum double the number of tables
- Balls — minimum 10 per table in case of breakage or loss
- 4 containers/small baskets for balls, pens, returning scoresheets, and processed scoresheets
A typical tournament involves around 15–20 hours of pre-event work (monitoring entries over several weeks, preparing the prize money document, and creating and adjusting the draws), a 10–14 hour day on site running Zermelo, and about 1 hour of post-event results work.
Based on this, the pre-event setup fee of $250 covers roughly 15–20 hours of work (~$12.50–$16.70/hr). The on-the-day fee of $250 covers a 10–14 hour day (~$17.85–$25.00/hr). For a full-service tournament the total workload is typically 26–35 hours, so the $500 fee works out to roughly $14.30–$19.25/hr overall.
Rather than charging an hourly rate, we set flat rates to make budgeting straightforward for host associations. These rates also cover the operator's petrol and vehicle wear, meals outside tournament hours, equipment (laptops, etc.), and pre/post-event internet and data usage.
The daily rate can be reduced depending on the association's needs — for example, if the association wishes to build its own tournament management capacity and engages us primarily as a supervisor or trainer.
Important clarification
We are not TTV or the TTV State Tournaments Committee. While some of us wear multiple hats and do other roles (paid or volunteer), we are a separate group of people with excellent Zermelo skills offering our services to clubs and associations for a reasonable rate.
Clubs do not have to engage us if they have someone in their own club who can use Zermelo to run a tournament. We are simply offering a fair price to come and run an efficient tournament for you.
